Travel and Payment Terms

The Tour Price Includes

The price of the study tour includes the following services during the stay in Japan:

Accommodation at the hotels specified in the programme.
All transportation within Japan included in the scheduled programme.
All meals except for one meal, where participants will have the opportunity to choose a restaurant themselves.
All company visits, training sessions and seminars specified in the programme.
English-language guidance in connection with company visits, training sessions and seminars.
An English-speaking Japanese guide throughout the stay in Japan.
The sightseeing tours and other activities specified in the programme, with an English-speaking guide.

Kompetenceforum is responsible for the professional programme and ongoing professional follow-up throughout the stay. Hotel accommodation, transportation, meals, local guides and other practical travel services in Japan are provided and carried out by Kompetenceforum’s Japanese partner.

The Tour Price Does Not Include

Services and expenses not expressly stated above are not included in the tour price. These include, but are not limited to:

Transportation to and from Japan, including airfares.
Travel insurance, cancellation insurance and other personal insurance.
Personal expenses.
Meals, beverages and activities not specified as included in the programme.

Number of Participants and Confirmation of the Tour

The study tour will be conducted with a minimum of 8 and a maximum of 15 participants.

If fewer than 8 participants have registered, Kompetenceforum reserves the right to cancel the tour. Any decision to cancel the tour due to insufficient enrolment will be made no later than 2 months before the scheduled departure date.

If the tour is cancelled by Kompetenceforum, all amounts paid to Kompetenceforum will be refunded in full.

Participants are responsible for booking and paying for their own transportation to and from Japan. We therefore recommend that flight tickets are not booked until Kompetenceforum has confirmed that the study tour will take place.

Registration and Payment

Upon registration, a deposit of 20% of the total price of the study tour is payable.

The remaining balance is due no later than 2 months before the scheduled departure date.

Registration is binding and subject to the cancellation terms below.

Cancellation by the Participant

If a participant cancels more than 2 months before the scheduled departure date, any amounts paid will be refunded, less the deposit of 20% of the total tour price.

If a participant cancels less than 2 months before the scheduled departure date, no refund will be made.

Participants are advised to take out appropriate cancellation insurance.

Changes to the Programme

Changes to the announced programme may become necessary, for example if a company is unable to host a scheduled visit.

Kompetenceforum and its Japanese partner therefore reserve the right to make necessary changes to the programme and, where appropriate, to replace a company visit, hotel, restaurant or activity with a comparable alternative.

Minor changes to the programme will not be considered a cancellation of the study tour.

Passports, Entry Requirements and Insurance

Each participant is responsible for holding a valid passport and for complying with the applicable entry requirements for Japan.

Participants are also responsible for obtaining the travel, health and other insurance coverage they consider necessary or appropriate for the trip.

Illness and Non-Participation

If a participant is unable to take part in any part of the scheduled programme due to illness or other personal circumstances, no refund will be provided for activities, meals, accommodation or other services not used by the participant.

Extraordinary Circumstances

Kompetenceforum cannot be held responsible for changes to, or the non-performance of, parts of the programme resulting from circumstances beyond the control of Kompetenceforum or its Japanese partner, including, for example, natural disasters, strikes, government actions or other extraordinary circumstances.

If the entire study tour has to be cancelled, all amounts paid by the participant to Kompetenceforum will be refunded.

Kompetenceforum is not responsible for expenses incurred directly by the participant for services that are not included in the study tour price, including airfares, insurance and other personal arrangements.
